Reschedule appointment email templates

To reschedule an appointment, give as much notice as you can and do the work for the other person: offer two or three specific times or a booking link, then confirm the new time in writing as soon as it's picked. One sentence of apology is enough if it's on you; a second reschedule deserves a phone call.

When to use it

  • A conflict on your side that you know about a few days ahead.
  • Running behind on a previous job or project.
  • A client asks to move their appointment and you want to reply fast with options.
  • A multi-person B2B meeting where a key attendee can no longer make it.
  • Moving every appointment on a given day: weather closure, power outage, office emergency.

Tips to make it work.

  • Offer complete times (weekday, date, time, time zone), and no more than three. Beyond that, choosing becomes a chore.
  • Update the existing calendar invite instead of sending a new one, so the history and video link stay in one place.
  • When rescheduling a whole day, book a new slot for each customer up front. Saying yes is easier than searching for a date.
  • Call if you're moving an appointment with less than 24 hours' notice.
  • Always confirm the new time in writing, even if you settled it over the phone.

Mistakes to avoid.

  • Asking "When are you free?" without offering anything.
  • Rescheduling the same appointment twice by email with no stronger apology and no call.
  • Forgetting to cancel the original slot, leaving two events on the client's calendar.
  • Changing the location or format (in person vs. video) without flagging it.
  • Leaving automated reminders running for the old time.

Frequently asked questions.

How do you politely ask to reschedule an appointment?
Give notice early, make the request in one sentence with a brief apology, and offer two or three specific times or a booking link. Thank them for their flexibility and confirm the new time in writing once it's chosen. The goal is that they only need to reply "the second one works."
How much notice should you give to reschedule?
As soon as you know there's a conflict, and ideally 24 to 48 hours ahead. The earlier you ask, the more it reads as good planning rather than a lack of respect for their time. With less than a day's notice, call before you email.
What if the client doesn't reply to a reschedule request?
Follow up once by text or phone within 48 hours, repeating the options. If you still hear nothing, send a final note saying the original slot has been released and they can rebook anytime with your link. Don't leave an appointment in limbo.
