Client welcome email templates

Send the welcome email within 24 hours of the signed contract or first payment. It confirms what the client bought, lays out the next three steps with dates, introduces their point of contact and lists what you need from them. Think of it as your first deliverable: it reassures the client before any work begins.

When to use it

  • A signed services agreement: agency, consulting firm, bookkeeper, coaching program.
  • A homeowner approving a large estimate: remodel, landscaping, event.
  • A new subscription or software account at activation.
  • Opening a client portal where the customer will track their project.
  • A recurring B2B client (maintenance, cleaning, IT support) before the first visit.

Tips to make it work.

  • Give dates, not intentions: "kickoff Tuesday the 12th at 10 a.m. CT" beats "we'll schedule a kickoff soon."
  • Name one point of contact and their response time. It's the first thing a new client wants to know.
  • List exactly what you need from the client (files, logins, approvals) with a due date. Most slow starts come from missing inputs.
  • Attach what they'll need anyway: signed agreement, deposit invoice, terms of service, and your W-9 if they'll be paying you as a vendor.
  • Send from a real person's address, not a no-reply inbox the client can't answer.
  • Automate the send from your CRM or e-signature tool, and reread the template every quarter.

Mistakes to avoid.

  • Turning the welcome into a two-page company history.
  • Pitching an upsell before you've delivered anything.
  • Emailing a password in plain text.
  • Adding the client to a promotional newsletter without telling them how to opt out.
  • Mentioning attachments that aren't actually attached.

Frequently asked questions.

When should you send a client welcome email?
Within 24 hours of the signed contract, payment or account activation. That's when new clients wonder whether they made the right call, and a clear message with dates and a named contact answers that worry. After two days of silence, doubt starts to creep in.
What should a client welcome email include?
A one-line thank-you, a reminder of what they bought, dated next steps, the name and contact details of their point person, what you need from them and by when, and any useful attachments. Everything else, such as your story or extra services, can wait for a later email.
Does CAN-SPAM apply to welcome emails?
A pure welcome email that confirms a purchase or onboards a customer is a transactional or relationship message, so most CAN-SPAM requirements don't apply, though the header and sender information must be accurate. If you add promotions and they become the main purpose, include an opt-out link and your postal address.
Do B2B clients need a welcome email?
Yes, and often more than consumers. Your contact has to brief their own team, so a clear email with the timeline, point of contact and list of inputs becomes the reference document they forward internally to get everyone ready for kickoff.
